Important Booking Terms & Conditions

We require our customers to read these Terms and Conditions thoroughly, for awareness of all conditions that apply to booking your travel through us.

When you are ready to make a booking with us, we shall forward you a Booking Form, with full details of related booking fees related for your trip. Please return to us your completed and signed Booking Form with your booking fee to commence the booking procedure.

PAYMENT DETAILS

DIRECT DEBIT – Our Financial Institution is Bendigo Bank. Please allow for three business prior your payment due date for the process of payment to make it to our account.

  • CREDIT CARD – We will provide an online security credit card link for making payments.
  • Visa 1.20%, MasterCard 1.40%, American Express 1.80%, Diners 2.50%, all International Cards 3.00%.
  • We will provide an online security credit card link for making payments on services booked.
  • Ciao Travel will charge you for the amount required on your invoice only.
  • Ciao Travel does not charge credit card fees or oversees the credit card fees; the credit card fees will show only on your credit card statement.

CASH / CHEQUES– Cash amounts less than $2000.00 or arrange payment by direct deposit. No personal cheques accepted.

CIAO TRAVEL EXCLUSIVE SERVICES

  • Ciao Travel is a retail travel agency accredited by the Australian Federation of Travel Agents (AFTA) and a participant of ATAS.
  • As a retail travel advisor, we design customers travel itineraries credited by our professional knowledge gained from years of experience in the industry; continuous training; personal extensive travel; together with coordinating and selling products provided by third party suppliers, in Australia and Internationally.
  • Please make sure you read all the information below, as we wish for you to be well informed of our protocols prior to you booking your travel arrangements with us.
  • To operate our business and cover our overheads financially, we may receive fees, commissions, gifts, or financial incentives from third parties under this contract. We also have our own tariffs in place to remunerate the professional service we choose to deliver.

 SERVICE SUPPLIERS

  • Service Supplier is the name we give third party providers; for example, companies that offer cruises, tours, insurance, hotels, airlines, and rail.
  • Ciao Travel often work directly with third parties, to navigate the preparation of a service, to create a customer’s travel itinerary.
  • Ciao Travel receives contracted rates exclusive from our Service Suppliers in Australia, Europe, and other international destinations.
  • The rates quoted are in Australian dollars based on the daily rate of exchange, inclusive of bank fees.
  • It is important to be aware of the Service Suppliers Terms & Conditions before booking the service.
  • A Service Suppliers may require a non-refundable deposit paid by the consumer to proceed with a reservation.
  • The choice of a Service Supplier to reschedule a service is out of Ciao Travels control.
  • Airlines like other Service Suppliers have their own Booking Conditions that apply to airfares, based on class availability; and note some airfares are non-refundable.
  • Tickets are only issued on receipt of full payment of the airfare/taxes received by Ciao Travel. Taxes apply to all airfares.
  • Once tickets are issued, cancellations and amendment fees apply to any voluntary changes or cancelling of the service made by the customer.
  • Most airlines no-longer offer adequate, if any, remuneration to Travel Agents for providing their companies with their business; this is irrespective of the amount of work involved for the Travel Agent in planning the flight itinerary, researching airfares and the rules, reserving seats, monitoring the reservation throughout until the journey is complete. For Ciao Travel to continue offering the service of booking flights, it now comes at an additional charge, over and above the airfare and taxes. Our airfare charge is minimal compared to the remuneration we once received from the airlines.
  • You are welcome to book your own flights and provide us with the booking details to ensure your flights booked coincide with other services held through us. Ciao Travel is not responsible for any services booked independently by the client.

BOOKING FEES & DEPOSITS

  • All Booking Fees and Deposits are Non-Refundable and cover the time and resources required by Ciao Travel to oversee the service provided. For any additional services required, over and above the initial service inclusions detailed, a charge may apply.

 FINAL PAYMENT

  • Ciao Travel must receive the balance, as cleared funds, no later than the specified due date on your Booking Advice Statement, unless advised otherwise. Failure to make your payment on time, may result in the cancellation of the services held on your behalf, by the Service Supplier.

AMENDMENTS

  • Amendment fees will apply by Ciao Travel to all voluntary changes, made by the customer after confirmation of the service and first payment received. The amendment fee charged is per service per change (or per person depending on the service) and covers time and resources required to provide this service.
  • Where other Service Suppliers charge amendment fees related to their booking terms and conditions, this is out of Ciao Travels hands.

CANCELLATIONS

  • Cancellations fees will apply by Ciao Travel The acknowledgement of the cancellation, must be, received by us in writing.
  • Where other Service Supplier charge cancellation fees related to their booking terms and conditions, this is out of Ciao Travel hands.

 REFUNDS & CREDITS

  • Ciao Travel will not provide you with a refund for the service fee charged if the booking does not go ahead.
  • In the situation of a refund request to the Service Supplier, submitted on behalf of a client, for a product cancelled, Ciao Travel will only provide the refund once received from the Service Supplier. Ciao Travel is not responsible for Service Suppliers refund terms and conditions or refund delays.
  • Credit Vouchers: Ciao Travel has no control over a Service Supplier choosing to offer a Credit Voucher over a refund for services cancelled by the Service Supplier or client. The Service Suppliers conditions and validity of the credit voucher is out of Ciao Travel’s hands.

TRAVEL INSURANCE

  • Ciao Travel knows the importance of purchasing Travel Insurance. We request it be a mandatory requirement for any holiday, to ensure peace of mind from the time you make your first booking payment until you return from the trip.
  • It is your responsibility to read the insurance policy thoroughly to make an informed choice of cover suited to your needs.
  • For Travel Insurance not purchased through Ciao Travel, we require you to provide us policy details and emergency telephone contact of your policy.
  • In the case of you making a claim, if you purchased travel insurance elsewhere, and not with Ciao Travel, a service fee applies for our service of collating all necessary information.

 HEALTH

  • A satisfactory level of fitness is key, for a traveller’s enjoyment and participation in activities whilst travelling.
  • Please answer the questions on the Booking Form so we are aware of any health and fitness requirements where possibly we can assist to make your travels easier. Ciao Travel is not liable for injury, illness, or loss of enjoyment in relation to your health condition.
  • It is your responsibility to seek medical advice in relation to your fitness and health requirements before committing to your trip.
  • Request a ‘letter of proof’ from your Medical Practitioner advising of any PBS medicines; naturopathic medicines; adrenalin EpiPens and syringes; you will be carrying with you on your trip.  Keep this letter at hand when travelling to avoid the confiscating or refusal of entry due to the medication
  • Proof of vaccinations, and RATS or PCR tests, related to Coronavirus are ongoing restrictions and are still changing around the world; as well as vaccinations for entry requirements to certain countries, is a traveller’s responsibility, prior departing on their trip.

 PASSPORT AND VISAS

  • Passports and visas are your responsibility when travelling to a destination outside of Australia. Beware to allow plenty of time for the application process of applying for these documents before booking your trip.
  • Your passport ‘Must be valid for 6 months’ from the date you are due to return in Australia. Ciao Travel requires a photocopy of your current passport, if travelling internationally, prior to the collection of your documentation.
  • If you are travelling on a foreign passport and you require a re-entry visa on return to Australia, this is your responsibility.
  • Visas required for entry into other countries are your responsibility.  Failure to obtain visas may result in Customs Official denying entry.
  • We strongly recommend you visit the website of  https://www.smartraveller.gov.au/ for more information and to register your travels.

 MILEAGE MEMBERSHIPS

  • It is your responsibility to advise us of your airline reward memberships details; or for you to join a mileage program; to accrue points when travelling. Ciao Travel is not responsible for your inability to claim points on your trip.
  • For purchasing flights with reward points, we recommend you contact the airline direct, either by telephone or online, to make your booking.
  • For Ciao Travel to assist with reward point bookings there is a charge of $150.00 to cover resources and the time required to make the reservation.
  • If you wish Ciao Travel to book your flights, please authorise in writing your permission for us to use your membership details for the booking only.
  • Ciao Travel shall not take any responsibility of non-refundable reward points spent in the process of booking or should you change your mind

LIMITATION & LIABILITY

  • Subject to Australian Consumer law, Ciao Travel does not accept any liability in contract, tort or otherwise for any injury, loss, delay, additional expenses, or inconvenience caused by suppliers or third-party providers over whom agents have no direct control.
  • Ciao Travel is not liable for force majeure or any other event which is beyond our control, or which is not preventable by a travel agent. Ciao Travel is not liable for any of the following beyond its reasonable control: acts of God, accident, riot, war, terrorist act, epidemic, pandemic, quarantine, outbreaks of infectious disease or any other health crisis, civil commotion, breakdown of communication facilities, natural catastrophes, government acts or omissions, changes of law, strikes, fire, explosion, lack of raw materials or energy.
